PROJECT PLANNING

What to prepare before your first software discussion

You do not need a technical specification to start a software discussion. A clear picture of your current work is often more helpful than a long feature list.

Describe your business in plain language

Explain what you do, who uses the records and how work moves from one person to another. Tell us where you use paper, spreadsheets or existing software. Include the tasks that cause confusion or repeated effort.

Bring a few representative examples

A blank invoice, report layout or sample process can clarify what you need. Remove personal, financial or confidential details before sharing examples. Do not send passwords or live account access as part of an initial enquiry.

List priorities and constraints

Separate essential tasks from useful later additions. Mention the number of intended users, locations, available devices and internet conditions. If you have a budget range or a deadline, explain it early so that the proposed approach can take it into account.

Agree what the quotation covers

Discuss data migration, reports, user permissions, hosting, training and support. Ask which third-party costs may recur and who is responsible for them. A quotation is easier to compare when its inclusions, exclusions and assumptions are explicit.

Plan the review and handover

Choose who will answer questions and review each milestone. Agree examples that demonstrate correct behavior, then cover backup responsibilities and handover materials. Keep a written record of later requests so their effect on cost and time can be discussed.
